Information we collect

When you request a quote or contact Harbour Shine Cleaning, we may collect your name, email address, phone number, postal code or service location, property or facility details, requested service and information you choose to include in your message.

How we use it

We use this information to respond to inquiries, prepare quotes, arrange service, communicate about scheduling and maintain reasonable business records.

Website forms, email delivery and anti-spam protection

Our website is hosted on Netlify. Quote requests submitted through the website may be processed and stored by Netlify Forms. Netlify applies automated spam filtering, and our forms may use a CAPTCHA challenge to distinguish legitimate users from automated submissions. After a verified quote request, limited contact and service-request information may also be sent through our transactional email provider so that Harbour Shine can receive the lead and send you an automatic confirmation. The CAPTCHA and email providers may process technical information needed to provide those services.

Invoices, jobs and billing records

If Harbour Shine creates a quote, schedules a job, creates or emails an invoice, or records a payment, we may process the customer and business details needed to manage that work, such as your name, company, email, phone number, service or billing address, service description, schedule, amount, payment status, payment method reference and applicable tax information. Operational records may be stored in Harbour Shine’s site-scoped Netlify data storage and invoice emails may be delivered through a transactional email provider. We do not ask customers to enter payment-card or banking credentials into the website quote forms.

Client portal and private links

Harbour Shine may provide customers with time-limited private links to review their own quotes, upcoming service visits, invoices and payment status, download business documents, or request another cleaning. These links are signed and should be treated as private. Do not forward a client-portal or invoice link to someone who should not have access to your service records.

Online payments

If Harbour Shine enables online card payments, payment checkout is provided by Stripe. Harbour Shine sends Stripe the information needed to identify the invoice and amount due. Payment-card details are entered on Stripe’s hosted checkout and are not stored in Harbour Shine’s cleaning-office records. Harbour Shine records the resulting payment reference and payment status for bookkeeping and reconciliation.

Business backups and accounting records

Authorized Harbour Shine administrators may export business records for continuity, bookkeeping or accounting purposes. The office system may also keep limited point-in-time snapshots and expense/receipt records. Exported copies should be stored only in an appropriate Harbour Shine business account or secured business device and deleted when no longer required.

What not to submit

Please do not send credit-card numbers, banking credentials, social insurance numbers, alarm or door-access codes, health information or other sensitive personal information through website forms.

Data minimization

We ask only for information reasonably needed to understand the requested cleaning service. Website form submissions should be reviewed periodically and deleted when they are no longer needed for business or legal purposes.

Automated service communications

Harbour Shine may use transactional email to send service-related communications such as quote follow-ups, appointment reminders, invoice reminders and a request for feedback after payment. These messages relate to an existing inquiry, quote, booking or service relationship rather than unrelated advertising.

Referral and campaign attribution

To understand which pages or referral sources lead to quote requests, our website may store limited first-party attribution information in your browser for the current browsing session, such as campaign tags, the referring website hostname and the first Harbour Shine page you visited. We do not use this feature to collect the full referring URL or to read information from other websites.

Third-party analytics

If Harbour Shine later adds third-party website analytics or advertising technologies, this notice should be reviewed and updated before those services are enabled.
